The Job

Reception Cover

Provide comprehensive reception coverage, including lunch breaks and other periods of leave for the full-time receptionist.

Maintain a welcoming and tidy reception / front of house area for all visitors to the support centre.  Greet visitors with a pleasant and friendly attitude, ensure full hospitality and any electric charging etc.

Ensure each morning that all Fire Appointed Persons (AP) have checked in according to the new Fire Safety Procedure ensuring all zones are ‘manned’ ASAP.

Dealing with incoming / outgoing post, receive and log parcels/deliveries, inform colleagues of their arrival, and maintain the parcel log spreadsheet.  Using franking machine and topping up as required.

 

Administration

Book and raise purchase orders using ‘D365’.

Arrange hotel accommodation using the online account with ‘Roomex’.

Order stationary and other necessary products for the Support Centre in line with company procedures.

Review and manage meeting room calendar bookings daily, ensuring no scheduling conflicts.

Keep the post room tidy and conduct regular audits of stationery to ensure full stock availability.

Maintain and update Excel spreadsheets daily for cross-charging to the Parent company of shared services.

Log and raise calls with the Facilities team regarding office facilities issues / faults and follow up pro-actively.

Maintain up to date supplies of tea / coffee / sugar / milk for both kitchens, order breakfast produce for all support colleagues (twice a week).

Order lunches as needed for meetings and events, assist with other support centre initiatives and projects as they arise.

Provide administrative support to the PA and perform any other duties as required
